To hold a convention, EASA must guarantee that a certain number of sleeping rooms will be used. So by staying at EASA’s official convention hotel, you help us avoid costly hotel penalties and keep your convention costs down. By staying in EASA’s hotel block, you may also be eligible for discounts on registration fees.

Be sure to record your hotel acknowledgment number on your convention registration form.

What You Receive for the Included Daily Resort Fee

Room rates include a $15 daily resort fee, for which you receive:

  • In-room, high-speed Internet access
  • Fitness center access
  • 2 bottles of water per day, per guest room
  • Daily newspaper
  • Local telephone calls (1st 20 minutes per call)
  • Complimentary shuttle service on a pre-set schedule to Grapevine Mills, Bass Pro Shops Outdoor World and downtown Grapevine

To ensure that your request is handled quickly and efficiently, please PRINT or TYPE all information when registering by mail or fax.

Acknowledgment

  • Photocopy this form if you require more than one room.
  • Only one room may be registered under each name.
  • Room types are assigned on a first-come, first-served basis.
  • Allow up to one week for acknowledgments.
  • Cancellations with check deposit; refunds will be made after the event.
  • If your acknowledgment has not been received by May 28, please contact the hotel.
  • After May 28, EASA’s special rates will not be available.

Deposit Method

A one-night deposit (U.S. Funds) payable by check or major credit card is required to secure each room before a reservation may be processed. Please identify method of payment below. Make checks payable to “Gaylord Texan”. All cancellations within 72 hours prior to the day of arrival will forfeit their entire deposit. Early departures are subject to penalty fees set by the hotel. A charge of your first night’s room rate and tax will be applied and/or forfeited if you do not cancel or do not arrive (no show).
