Exhibitor Badge/Registration Policies

Badge & Ticket Policies

Only registered individuals and those who have purchased passes or separate tickets may attend convention events. Children, spouses and guests of registrants need not register to share hotel accommodations, but must register or buy separate tickets (on site, if available) if they wish to have name badges and attend convention events. (Note: Exhibitor badges will admit exhibitor personnel to education sessions and exhibits but are not eligible for Exhibit Door Prize Drawings.)

Full Registration Options

Full Business Program (Best Value): Includes Early Bird Education Sessions (Saturday afternoon), all education sessions and exhibits (Sunday - Tuesday), and seven meal functions/social events: Kickoff Breakfast, Networking Lunch, Un-Banquet: EASA’s Diamond Celebration (Sunday); Exhibit Hall Box Lunch (Monday); and Breakfast & Business Meeting, Networking Luncheon & Speaker, and Chairman’s Party at the EASA Lounge (Tuesday). Full Business registrants are eligible for the Exhibit Door Prize Drawings on Sunday, Monday and Tuesday.

Spouse/Guest Program (Best Value): Includes all education sessions and exhibits, tours on Monday and Tuesday, and several meal functions/social events: Kickoff Breakfast, Networking Lunch, Un-Banquet: EASA’s Diamond Celebration (Sunday); lunch with one of the tour options (Monday); lunch with one of the tour options (Tuesday), and Chairman’s Party at the EASA Lounge (Tuesday). Spouse/Guest registrants are also eligible for the Exhibit Door Prize Drawings on Sunday. You must choose your preferred tour options for Monday and Tuesday in advance. Some tours are limited; selection is first-come, first-served.

Youth/Teen Program: Includes Youth/Teen Center activities, supervision and tours on Sunday, Monday and Tuesday. Also includes nine meals/snacks: breakfast, lunch, dinner and evening snacks (Sunday); lunch (Monday); and breakfast, lunch, dinner and evening snacks (Tuesday).

Payment

Payment by check or credit card MUST accompany registration form to receive early registration discount. If paying by credit card, be sure to include the security code. All registration fees must be paid in U.S. funds.


Cancellation

Full refunds, less a $75 (U.S.) service charge, will be granted for cancellations received in writing at EASA by the close of business on June 6, 2008. No refunds will be given after this date. No refunds will be made on one-day passes, Weekend packages, “Exhibition Only” tickets or “no-shows.” A registered attendee who cannot attend may provide a substitute from within his/her company without incurring additional charges. Refunds will be processed 4-6 weeks after the convention.

Exhibitor Badges and Registration

All exhibitor badges are complimentary if individuals are staying in the Gaylord Texan™, EASA’s official convention hotel. Otherwise, you will receive two complimentary badges for each 10’ x 10’ booth; extra badges are $300 each.

Exhibitors may request badges for their booth personnel online or download the Exhibitor Badge/Registration Form (pdf) and fax it to EASA at 314-993-1269. Badges may also be requested by e-mail (dshuter@easa.com). Please provide the name, company information, and hotel reservation Acknowledgment Number for each person.

Exhibitor badges will admit exhibitor personnel to EASA education sessions and exhibits. Exhibitors are not eligible for Exhibit Door Prize Drawings unless they buy a Full Business registration.

Separate Tickets and Full Registration Options. To attend various social events/meal functions (Kickoff Breakfast, the Un-Banquet and Chairman’s Party at the EASA Lounge), exhibitors are invited to buy separate event tickets or Full Business or Spouse/Guest registrations.

Registration Discounts Available!

Stay With EASA. You can get a significant discount on registration fees if you make your hotel reservations in EASA’s room block at the Gaylord Texan™. To obtain the discount, you must make your hotel reservations through the Gaylord Texan™ and then submit your hotel reservation Acknowledgment Number with your convention registration.

Reserve your room(s) early!

After May 28, EASA’s special rates and rooms at the Gaylord Texan™ will not be available.

Full Registrations: Your Best Value

Full Business and Spouse/Guest registrations are great values. Not only do they provide full access to all education sessions and exhibits, but they also include several meals/social events (see below). That saves you both money and time. It also allows you to participate more fully and make the most of the great networking opportunities that EASA’s convention affords.

What’s more, with the $200 discount you’ll receive for staying in EASA’s room block at the Gaylord Texan™, your Full Business or Spouse/Guest registration may cost as little as $375. Now that’s a great value!
